Automation & Process Improvement

We map how work actually flows, redesign what's broken, connect the systems that should already talk, and automate the steps no human should be doing.

What is automation and process improvement consulting? It is the practice of analyzing how work moves through an organization — steps, handoffs, approvals, systems — then redesigning and automating that flow to remove manual effort, delays, and errors. Typical work includes mapping current processes, eliminating unnecessary steps, integrating disconnected systems (ERP, CRM, finance, email), automating data transfer and approvals, and measuring cycle time and error rates before and after. AI is used where it adds value; plain integration and workflow redesign often deliver the largest gains.

Fit

Who this is for

Problems solved

What this fixes

Duplicate data entry across systems

Approvals lost in inboxes

Handoffs with no owner or SLA

Spreadsheets as system-of-record

Onboarding and intake that takes weeks

Errors from manual copy-paste

Scope

What's included

  • Workflow mapping with the people doing the work
  • Process redesign — remove before automate
  • System integration: APIs, middleware, native connectors
  • Approval and exception workflow automation
  • Spreadsheet-to-system migration where warranted
  • Baseline and post-change measurement
  • SOPs and training for the new flow
  • Exception-handling design

How it works

On the Olyra 120: map and baseline (Phase 1 — where quick wins from pure waste removal usually appear), redesign and pilot the highest-friction flow (Phase 2), integrate and automate (Phase 3), then measure, harden, and extend (Phase 4).

Deliverables

Current-state and future-state process maps · Working integrations and automations in production · Exception-handling design · Cycle-time and error-rate report vs baseline · Updated SOPs.

In practice

Example projects

Order to cash

Order-to-invoice flow with zero re-keying between CRM and ERP — and a visible status at every step.

People ops

Employee onboarding cut from weeks of email threads to a tracked workflow with owners and SLAs.

Finance

Vendor invoice approvals with routing, reminders, and a complete audit trail.

Reporting

Weekly management reports assembled automatically from live data instead of Friday-afternoon spreadsheet work.

Automation FAQ

Do you automate first or redesign first?

Redesign first, always. Automating a broken process makes bad work happen faster. We remove unnecessary steps and clarify ownership, then automate what remains. Some of the biggest wins in a typical engagement come from deletion, not technology.

Will this disrupt operations during the change?

Changes run in parallel with the existing process until validated — old and new flows side by side, with a defined cutover and rollback. The people doing the work are involved from mapping day one, which is also what makes adoption stick.

Our systems are old. Can you still integrate them?

Usually, yes. Legacy ERPs and niche tools rarely have clean APIs, but there is almost always a reliable integration path — exports, database access, middleware, or narrowly-scoped automation. Where a system genuinely can't participate safely, we say so and design around it.

Is this the same as RPA?

RPA (screen-level bots) is one tool we occasionally use, but it's fragile and a last resort. We prefer API-level integration and real workflow redesign, with AI where judgment-like steps (reading documents, classifying requests) are involved. The goal is durable plumbing, not bots that break with every UI update.
